VCPay and Online Enrolment FAQs

What is VCPay?
VCPay is an online payment platform provided by Carey through Veracross. It allows you to view and pay school bills securely and conveniently from your computer or mobile device. You can manage invoices, set up AutoPay, and view payment history, all in one place.
Why is Carey Baptist College moving to the VCPay platform?
Using VCPay for school fees benefits both families and the School. It streamlines the parent experience by bringing payments, direct debits and fee statements into one place. It also reduces administration, supports more predictable cashflow and meets high security and compliance standards to keep your information safe.
Do I have to use the VCPay payment platform?
Yes, VCPay is the official School payment platform. All Carey families will be required to set up VCPay.
Does VCPay accept all types of credit cards?
VCPay accepts Visa and Mastercard. A per transaction fee of $0.30, plus a 1.95% will be charged for all credit card payments.
Why do I need to complete the Census Information section?
You’re asked to complete the ‘Census Information’ section because the College is legally required to collect and report this information during the Government Census, which takes place twice each year. Providing these details ensures the College can meet its reporting obligations and access the appropriate funding and support for students.
How will I know how much you will be deducting from my account?
As in previous years, your first statement will be made available towards the end of January 2026. You will be able to access this online via the Parent Portal (details on how to access the portal will be sent out in January). In the meantime, the 2026 Fee Schedule is available on our website that provides information on the annual amounts, and the different payment frequencies.
Why can’t I set up fee payments for all my children?
If your child is enrolled to start at Carey for 2026, you will receive another email notification once their information is added to the student information system. You can expect to receive this into the lead up to the new year.
What is an Incidental Fee?
An Incidental Fee is an ad hoc charge that is added to your account during the year for items other than your main tuition fees, e.g. lost library books, musical instrument hire, Chromebook repairs etc. You can pay these Incidental fees in your Parent Portal as they arise, within 7 days of the charge being added to your account. Alternatively, you can set up AutoPay, and any charges incurred during the month, will be automatically debited from your chosen payment method on the 5th of the following month.
Where can I find a copy of my invoice/billing statement?
On the Payments page of your Parent Portal, you are presented with all of your active and archived invoices/billing statements. Click the View button next to the invoice/billing statement you wish to see, and a new page will open with a copy of your invoice for your review, with the option to print to PDF, if you wish.
Why is my successful payment still showing as Pending on my invoice or billing account?
If you've made an invoice or billing statement payment but the payment amount is showing in the Payments Pending column, the payment is either: still processing and has not yet been deposited into Carey's bank account OR the payment has been deposited but Carey’s Accounts team has not yet posted the payment to your invoice or billing account. Once the school has posted the payment to your invoice or billing statement, the amount in the Payments Pending column will show $0.00, and the payment amount will be added to the Payments Received column. Additionally, the payment will appear on the invoice or billing statement record.
How safe is it to use VCPay?
All payments are securely handled by Stripe Payments Australia, a licensed and highly trusted payment provider. Stripe meets the highest global security standards and protects your personal and financial information. VCPay itself does not store or process payments. Carey Baptist College has reviewed VCPay’s data security practices and confirmed they meet the School’s IT policies and comply with the Australian Privacy Act.
Do I need to cancel my current Direct Debit?
No, all existing Direct Debit with Carey have now concluded.
When can I access the Parent Portal?
Carey families will gain access to the Parent Portal in mid to late January 2026.
